Reports to Executive Director

The Operations Manager plays a critical role in ensuring that behind every camp, every family, and every moment of support, there are systems that work. This is not a role for someone looking to clock in and out. It’s a role for someone who finds deep satisfaction in building something, someone who understands that when the operational foundation is strong, the entire community benefits.

  • 1–3+ years of experience in operations, administration, or nonprofit work
  • Experience with data entry and managing systems or databases
  • Familiarity with spreadsheets/QuickBooks and basic financial tracking
  • Experience with CRM or fundraising platforms is a plus
  • Volunteer coordination experience is a bonus

Position Summary

The Diabetes Family Connection exists for one reason: to make sure that no one navigating a type 1 diabetes diagnosis feels alone. Our mission is to positively transform life with diabetes through the power of community. We build community through year-round recreational activities, such as camp programs, support programs, and community connection opportunities that change lives and strengthen families. This role sits at the center of that work.

The Operations Manager plays a critical role in ensuring that behind every camp, every family, and every moment of support, there are systems that work. We’re a small team with big ambitions. We’re actively building the infrastructure to serve significantly more T1D families across North Carolina over the next few years. The right person in this role won’t just maintain what exists, they’ll help shape what comes next. There is real room to grow here, including expanding responsibilities and the potential for leadership as the organization scales.

This is a remote position. The candidate must reside in North Carolina and be available to attend events across the state.

Operations

  • Support and maintain day-to-day operational systems and processes
  • Assist with financial tracking, reporting, and expense management
  • Track purchases and inventory to ensure accuracy and accountability
  • Help review and maintain insurance and compliance-related documentation
  • Identify opportunities to improve efficiency and implement simple, effective solutions

Support Fundraising Systems

  • Ensure timely, accurate, and meaningful donor acknowledgments
  • Maintain and update our fundraising platform/CRM with close attention to detail
  • Track donations and engagement to support strong donor relationships
  • Assist the team with campaign tracking, reporting, and coordination
  • Help create a seamless and positive donor experience

Coordinate Clear & Consistent Communication

  • Support communication with staff, families, and donors
  • Help schedule and manage social media posts and communication calendars
  • Collaborate with team members to ensure messaging is clear and aligned
  • Articulate and share The DFC’s mission and impact through various channels to engage the community and attract donors.
  • Collaborate with the team to share and collect impactful community stories that highlight the transformation of DFC programs in the T1D community.

Maintain Systems, Policies & Organization

  • Keep internal guides, policies, and procedures updated and accessible
  • Ensure records (donors, families, volunteers) are accurate and up to date
  • Support cross-team coordination to keep projects moving forward

Support Volunteer Engagement (as needed)

  • Assist with volunteer communication, onboarding, and coordination

Qualifications

You Are

  • Highly organized and detail-oriented
  • Self-motivated and able to manage your time in a flexible work environment
  • Strong communicator (written and verbal)
  • Comfortable working both independently and as part of a team
  • Solutions-focused. You don’t just spot problems, you help fix them
  • Energized by meaningful, mission-driven work, you find real satisfaction knowing your spreadsheet, your system, your follow-up email helped a child with T1D get to camp this summer

Experience and Skills

  • 1–3+ years of experience in operations, administration, or nonprofit work.
  • Experience with data entry and managing systems or databases
  • Familiarity with spreadsheets/QuickBooks and basic financial tracking
  • Experience with CRM or fundraising platforms is a plus
  • Volunteer coordination experience is a bonus
